Microsoft Dynamics CRM 2011 has given us the ability to monitor and manage the progress of our marketing efforts. We can create different marketing lists to manage a specific list of members to send out our marketing material to them.
A marketing list can ONLY be based on ONE entity: account, contact or lead. If you want to create a marketing list for your accounts AND contacts then you will need to create two separate marketing lists.
To create a new marketing list, navigate to ‘Marketing’ Tab and click on ‘Marketing Lists’.
Click on ‘New’ and then select an appropriate name for your Marketing List >> select the ‘Member Type’ from available options i.e. ‘Account’ / ‘Contact’/ ‘Lead’ >> select ‘Marketing list type’ from the available options i.e. ‘Static’ or ‘Dynamic’ >> click on ‘Save’. As the name suggests, the members in a static marketing list will remain the same at all times whereas a dynamic marketing list updates itself automatically whenever a modification is encountered.
E.g. if you add a new contact which possesses the attributes of a specific dynamic marketing list then the newly created contact is automatically added to that particular marketing list. So you do not have to worry about manually updating your marketing list. You can also copy a dynamic marketing list into a static marketing list.
Please note that once the marketing list has been created based on a specific Member Type, you cannot modify the Member Type Criteria for that specific marketing list at a later stage. E.g. if you have created a marketing list based on member type as ‘Lead’ then you will not be able to modify the member type of that particular marketing list to ‘Account’ or ‘Contact’.
Please ensure that you do not lock the marketing list before you add members to it because once you have locked your marketing list, you won’t be able to remove or add members to that particular marketing list.
To add members to your Marketing list, Click on ‘Marketing List Members’ >> click on ‘Manage Members’.
In a dynamic marketing list you will be able to add or remove members through a query and the members of this marketing list will be changed dynamically.
In a static Marketing list you will find four options to manage members:
• Use Lookup to add members
• Use Advanced Find to add members
• Use Advances Find to remove members
• Use Advanced Find to evaluate members
Once your Marketing list is created, you can add this to a marketing Campaign and the list members will be a part of campaign activities and you can also use it to create Quick Campaign.
