Out of the box Functionality of SharePoint 2010

Microsoft SharePoint 2010 has many out of the box web templates which make business processes and tasks much easier than ever before. One of these web templates which assist in business processes and keeping track of business assets is the “Assets Web Database”. Using the Assets Web Database the user / company has the ability to track all the items they own. From a simple form a user can enter the Value, Purchase date, Manufacturer and owner of specific items and keep them in one single location for ease of access and future reference.  Once the company’s assets are getting old and/or are sold, these items can be moved to the “Retired assets” section by simply changing the “Retirement Date” field on the item while still keeping them on file for future reference.

When tracking assets within a company it is also important to be able to keep a paper trail of where things are and who has what. With the Microsoft SharePoint 2010 Assets Web Database this is simpler than ever.

From the “Report Center” we can easily display reports on the following:

1. All items asset list
2. All retired assets list
3. Assets listed by category

The database can be edited in Microsoft Access then published to a SharePoint server.

To set up your own Assets Database Follow these easy steps.

1. First Browse to “Site Actions” -> “New Site” within your SharePoint Site

2. Click on “Assets Web Database”.  Fill out the information on the right hand side for Name and URL then click on Create

 

You will now be bought to your new Assets Web Database.  This will look like the screen below

 

 To add a new item to the Assets Web Database simply click on

Fill out the form which looks like the form below before clicking “save and close”

To Move an item from the “Current Assets” data base to the “Retired Assets” database, simply change the date on the given item by double clicking the item title and changing the “Retirement Date” field to a date which suits you.
