Setting up a free 30-day trial of the Polaris Release of Microsoft Dynamics CRM 2011 – Part 4

In this blog I will describe how to install/configure Microsoft Dynamics CRM 2011 for Outlook for use with your trial Microsoft Dynamics CRM Organisation. 

Before starting, it is important to take be aware of the following points: 

• To install Microsoft Dynamics CRM 2011 for Outlook, you must have administrator permissions on the computer on which you are running the installation.

• It is recommended that you do not yet install Microsoft Dynamics CRM 2011 for Outlook with Offline Capability. Therefore do not select the Offline Capability option, under options, when running the installation.

• On completion of the installation you may be prompted to restart your computer.

The following instructions will guide you through the installation. The whole process takes 10 to 15 minutes to complete.

1. Download and run the Microsoft Dynamics CRM 2011 for Microsoft Office Outlook (Outlook Client). This can be downloaded from http://www.microsoft.com/en-nz/download/details.aspx?id=27821.

Important Note:

• Before downloading read the System Requirements and Installation Instructions on the download page.

• If you are using a 32-bit edition of Microsoft Outlook you must download and run the CRM2011-Client-ENU-i386.exe file.

• If you are using a 64-bit edition of Microsoft Outlook you must download run the CRM2011-Client-ENU-amd64.exe file.

To check the edition of Microsoft Outlook you are using, open Microsoft Outlook, click the File tab and then select Help. Look for the About Microsoft Outlook section on the screen that is displayed. The Microsoft Outlook version and edition (i.e. 32-bit or 64-bit) will be displayed.

Complete the following steps to install Microsoft Dynamics CRM 2011 for Outlook

1. When prompted, browse to and select a location to save the downloaded installation files to and then click OK.

2. When prompted, select I accept the license agreement and then click OK.

3. Click Install Now.

4. Click Close

When finished, you must now configure the connection between Microsoft Outlook and Microsoft Dynamics CRM. To do this, complete the following steps: 

1. Launch the Configuration Wizard by either opening Microsoft Outlook or selecting Start, All Programs, Microsoft Dynamics CRM 2011, Configuration Wizard.

2. From the Microsoft Dynamics CRM 2011 for Outlook Configuration Wizard, click the Add button.

3. From the Configure Organisation screen, ensure CRM Online is selected and then click Test Connection …

4. If prompted, enter your Microsoft Dynamics CRM Online username and password and then click OK. E.g. jane@jscrm.onmicrosoft.com etc.

5. There will be a short delay while the configuration wizard connects to Microsoft Dynamics CRM Online.

6. When connected, the Organisation Information will display the name of the Microsoft Dynamics CRM Organisation you created when setting up your trial. In this example the trial Organisation is named 01-02-2013.

7. Confirm that the Synchronise with this Organisation option is selected.

8. Click OK

9. The Configuration Wizard will now add your trial Organisation to Microsoft Outlook.

10. When complete, click Close.

11. If required, open Microsoft Outlook.

 

12. Your trial Organisation will be displayed in Microsoft Outlook as a new set of folders on the navigation pane. The top folder name will be the name of your trial Organisation.

Complete the following steps to configure some recommended/optional Personal Options

1. In Microsoft Outlook, select File, CRM.

2. Click Options to open the Set Personal Options screen.

3. Select the E-mail tab and then:

 

• Recommended: Select the Allow Microsoft Dynamics CRM to send e-mail using Microsoft Dynamics CRM for Outlook option.

 

• Recommended: Select the Check incoming e-mail in Outlook and determine whether an e-mail should be linked and saved as a Microsoft Dynamics CRM record option.

 

• Recommended: Set the Track option to E-mail messages from CRM Leads, Contacts and Accounts.

 

• Optional: Select the Create option and set this to Contacts.

4. Select the Address Book tab and then:

 

• Optional: Select the Match all contacts in Microsoft Dynamics CRM option.

 

• Optional: Select the Match all items in Microsoft Dynamics CRM option.

5. Click OK to close the Set Personal Options screen.

You may now use Microsoft Dynamics CRM from Microsoft Outlook in addition to from a Web Browser such as the latest version Internet Explorer, Firefox or Google Chrome.
